Who we are
Nuvia Outsourcing Ltd ("Nuvia", "we", "us") is the data controller for personal information collected through this website and through our payroll, compliance and onboarding services.

What we collect
From website visitors:
- Contact details you submit through our forms (name, email, phone, company).
- The content of the message you send us.
- Basic technical data (IP address, browser, pages visited) used to keep the site secure and measure performance.
From workers and clients using our services:
- Identity and right-to-work evidence, processed via certified verification partners.
- Payroll and tax information required to run pay cycles and file with HMRC.
- Bank details for payment, securely stored in our payroll platform.
How we use it
We use personal data to respond to enquiries, deliver the services we've been engaged to provide, meet our legal obligations (HMRC, RTW, IR35, AML where applicable), and keep our systems secure. We never sell personal data to third parties.
Legal bases
- Contract — to deliver the services you or your employer have engaged us for.
- Legal obligation — for tax, payroll and right-to-work compliance.
- Legitimate interests — to respond to business enquiries and keep our services safe and secure.
- Consent — for non-essential cookies and any optional marketing communications.
How long we keep it
Enquiry data is kept for up to 24 months from last contact. Payroll and tax records are retained for at least six full tax years in line with HMRC requirements. Right-to-work evidence is retained for the duration of the engagement plus two years.
Who we share it with
We share personal data only with vetted processors who help us deliver the service: our payroll platform provider, our identity verification partner, HR and contracting tools, and our auditors and insurers. All processors are bound by written data processing agreements and UK data residency where applicable.
Your rights
You have the right to access, correct, delete or restrict the use of your personal data, to object to processing, and to data portability where applicable. To exercise any of these, email privacy@nuviaoutsourcing.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we've handled your data.
